How to scan a document to Word on iPhone
Scanning to PDF is easy and everywhere. Getting actual editable text is a different job, and a lot of apps quietly do the first while claiming the second.
Scanning is already built in
Notes → new note → camera icon → Scan Documents. It finds the page edges, corrects the perspective and captures automatically. Files does the same thing from the three-dot menu. Either way, you get a good PDF for free.
Neither one gives you Word.
What a scan actually contains
A scanned PDF is, underneath everything, a photograph of a page. Most scanners also run OCR and store the recognised text as an invisible layer on top, which is what makes the PDF searchable and lets you copy from it.
That invisible layer is the thing you actually want. Exporting to Word means taking the recognised text and writing it out as paragraphs — not embedding the picture in a .docx, which is what a lot of "scan to Word" features quietly do instead. A Word file containing an image of a page cannot be edited, and editing is the only reason to want Word.
How to check what you got
Open the .docx and try placing a cursor in the middle of a sentence. If you can, it is real text. If you can only select the whole page as an object, what you actually have is a picture in a wrapper.
Getting better recognition
OCR quality depends more on the photograph than on the software:
- Flat. A curved page bends the letters and accuracy drops sharply.
- Even light. A shadow across a column loses that column. Diffuse light beats a bright lamp.
- Square on. Automatic perspective correction is good, not magic.
- Fill the frame. More pixels per character is the single biggest factor.
Handwriting is a different problem, and a much harder one. Modern recognisers handle neat printing reasonably and cursive poorly. Treat any handwritten result as a draft to check, never as a transcript.
What still comes out wrong
Even at 99% character accuracy, a page of 2,000 characters has twenty errors in it. They cluster predictably around 0/O and 1/l/I, decimal points in figures, and anything in a table — column structure is inferred from spacing and gets it wrong often. Always re-read your numbers.
